Position Summary
Reporting to the Administrative Director of Education, the Administrative Coordinator is a professional responsible for the day-to-day administration of the educational programs and providing overall administrative support for trainees and students.
Responsibilities
- Maintain trainees and alumni files and online databases for accreditation purposes (ACGME, GME Track, FREIDA, ABR) and post-graduate training verifications
- Assists with the development and maintenance of trainees' schedules
- Coordinates didactic and grand rounds lectures
- Records and tracks trainees' conference attendance
- Manage and maintain all information in MedHub including rotation schedules, conference attendance, evaluation distribution, goals and objectives, duty hours, etc.
- Ensures trainees memberships for educational organizations are active and up to date
- Processes all necessary paperwork for hospital and university appointments
- Acts as liaison with regulatory agencies, Dean's Office, Immigration Office and GME
- Coordinates in-service exams
- Manages schedules, evaluations and goals and objectives in MedHub
- Coordinates new trainee orientation
- Organizes and coordinates all aspects of the recruitment process
- Prepares and submits rank order list to the National Residency Matching Program (NRMP)
- Prepares agendas, reports and minutes for PEC, CCC and other educational meetings
- Coordinates educational activities including reserving conference rooms, ordering food, etc.
- Coordinating medical students' educational programs
- Work on special projects for the Program Director and/or Administrative Director
- Additional duties as assigned.
Minimum Qualifications
- Requires a bachelor's degree or equivalent in education and experience plus 3 years of related experience.
Preferred Qualifications
Experience in medical and hospital education administration; experience with medhub and ERAS.
Other Requirements
- Proficient with Excel and Word.
- Ability to independently prioritize work.
- Exceptional organizational skills.
- Demonstrate initiative and ability to utilize resources effectively.
- Excellent communication skills (verbal, written, interpersonal).
- Excellent critical thinking and problem solving skills.
- This position entails working as part of a team, collaborating with other members of the team and cross-covering as needed.
- This role requires flexibility to arrive early or stay late as necessary to fulfill daily duties effectively.
- Must be available to attend and travel to at least one educational conference a year.
