Job ID359887 LocationTwin Cities Job FamilyAdministration-General Full/Part TimeFull-Time Regular/TemporaryRegular Job Code8208A1 Employee ClassCivil Service About the Job Job Duties: The Department of Anesthesiology's Education Office serves medical students, residents, and fellows within the Department as well as the faculty who support these education programs. The Anesthesiology UME Coordinator & Education Admin holds two main areas of responsibility as a core part of the Education Office team. Firstly, this role serves as the Undergraduate Medical Education (UME) Coordinator and will oversee all medical student courses, clerkships, shadowing opportunities, and observerships within the Anesthesiology Department. Secondly, this role provides administrative support for the Anesthesiology Education Office, with the majority of this administrative support falling under Finance responsibilities. This position reports to the Residency Program Administrator in the Department of Anesthesiology and works closely with both the Education Manager and the Education faculty leadership team. This is a hybrid position with 2 days remote and 3 days on-site per week. Major Responsibilities: 40% Anesthesiology UME Coordinator: * Serves as the coordinator for all Department of Anesthesiology Undergraduate Medical Education (UME) courses * Facilitates communication between the Medical School administration, Course Directors, medical students, and other stakeholders * Works with Course Directors and Site Directors to ensure access, schedules, and other necessary logistics are pre-arranged and communicated with students * Manages Canvas and MedHub course sites, distributes course rosters, distributes and collects course evaluations, and enters course grades * Facilitates Department communication with the Anesthesiology Interest Group (AIG) and partners with AIG members and faculty to host events * Leverages technology to improve and implement innovative, efficient, and standardized processes for Anesthesiology UME projects 60% Anesthesiology Education Administrator * Partners with Finance and the other Education admin to: manage and pay invoices, complete purchase orders and check requests, use EFS and ChromeRiver to provide Finance support, complete office supply and catering orders, reconcile P cards, and complete conference registrations * Co-manages the Education Office email and Google Drive, focusing on organized record-keeping and timely responses to inquiries * Coordinates all non-department learner and faculty rotations and experiences, ensuring appropriate access and scheduling is planned in advance of their visit * Manages the Regional Pain Fellowship * Supports Department education events with both planning and on-site execution, sometimes outside of their normal working hours * Assists the Residency Program Administrator with education tasks and special projects, as needed Qualifications Qualifications Required Qualifications: (Must be documented on all application materials) * BA/BS or a combination of related education and work experience to equal four years * Ability to utilize Google apps, especially Drive, Gmail, and Calendar, for organizational and shared project purposes * Comfortable scheduling and running Zoom meetings * Ability to multitask and prioritize effectively to meet deadlines * Very strong attention to detail * Interpersonal skills, including the ability to communicate in an effective and professional manner (both written and verbal) * Ability to take initiative and close the loop with communications and projects * Ability to work comfortably in a dynamic, fast-paced, growth-oriented team * Ability to work hours outside of the normal work day on occasion and with advance notice, as needed for education event support Preferred Qualifications: * Experience working in healthcare or an academic setting * Enthusiastic and knowledgeable about technology and leveraging it as a tool for organization and program improveme ts * Training in and knowledge of University of Minnesota systems, policies and procedures such as Qgenda, Qualtrics, ChromeRiver, EFS, Peoplesoft, etc. Benefits Working at the University At the University of Minnesota, you'll find a flexible work environment and supportive colleagues who are interested in lifelong learning.
