Summary/Objective : Support the business development of service and boiler projects, by ordering tracking and handling parts material and equipment. Data entry for preventive maintenance sales as required to complete, proposals and presentations.

Essential Functions

  • High School diploma or equivalent and 3 years related experience.

  • Proficient in Microsoft applications including Word, Excel, and Outlook applications.

  • Must have knowledge of plumbing, HVAC, refrigeration, and boiler equipment and components.

  • Ability to effectively manage multiple projects and tasks simultaneously.

  • Prioritizes and organizes own work to meet agreed upon deadlines.

  • Possess good judgment and attention to detail. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

Responsibilities/Duties

  • Support day to day functions of service special project operations.

  • Support day to day functions of service maintenance sales operations.

  • Order and track parts for service small project quotes.

  • Data entry of equipment and materials into proposal system.

  • Ensures compliance with company purchasing procedures.

  • Updates managers by consolidating, analyzing, and forwarding daily activity summaries.

  • Participate, when appropriate, with vendor selection, timely purchasing, pricing accuracy, and delivery to ensure customer service and profit maximization.

  • Resolves order and inventory problems by investigating data and history; identifying alternate means for filling orders; and notifying managers and customers.

  • Maintains customer databases by inputting customer profiles and updates as needed.

  • Build and maintain rapport and positive working relations with field, office, and management personnel to resolve problems, exploit opportunities, and maximize profits

  • Work with the assigned salesperson and Special Projects Managers at each of their accounts to ensure customer satisfaction.

Time management

  • Able to plan and efficiently schedule appointments and manage personal time to assure goals are met.

Technical Knowledge

  • Continually grows knowledge in Plumbing, HVAC, Boiler and Refrigeration equipment and components.

Survey and Pricing

  • Able to interpret Plans, Specs, Contracts, and risk associated with varying site conditions.

  • Prepare cost estimates of jobs according to labor and material requirements using company pricing policies, with guidance of higher-level management.

Purchasing

  • Participate, when appropriate, with vendor selection, timely purchasing, pricing accuracy, and delivery to ensure customer service and profit maximization.

Documentation & Company Compliance

  • In a timely fashion, prepare complete clear and concise reports, proposals booking packets, and other required company paperwork.

  • Maintain written supportive information relative to delays, changes, special conditions, and schedules.

  • Monitor field paperwork for accuracy.

  • Update job knowledge by participating in and identifying educational opportunities.

  • Reading and relaying the content of professional publications, maintaining personal networks, as well as occasionally participating in professional organizations.

  • Encourage and enforce safety policies.

  • Provide support for any special projects or assignments, assigned by your manager.

  • Clerical – Knowledge of administrative and clerical procedures and systems, such as word processing, spreadsheet maintenance, managing files and records, and other office procedures and terminology.

  • English Language – Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition and grammar.

  • Customer and Personal Service – Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.

  • Writing – Communicating effectively in writing as appropriate for the needs of the audience.
